Building a Batch
- Open a post and go to Schedule > Request review.
- Choose Client review or Internal + Client.
- Under Batch, select Create New Batch or an available open batch.
- For a new batch, choose the client approval policy and add reviewers.
- Enter the batch label, expiry, and any invite note.
- Select Confirm, then use the composer's Create Client Batch or Add to Client Batch action. The wording varies for unscheduled posts and Internal + Client review.
To add another post, repeat the setup and choose the same open batch. An existing batch supplies its review settings. Finish adding posts before you send it; only open batches that have never been sent accept additions.
What Can Go in a Batch
Add draft or scheduled posts. Published, failed, and canceled posts are not eligible. A post already using an incompatible review setup cannot be added.
If a post or batch is unavailable, check its status and review setup before trying again.
The Reviewers
Choose the client policy:
- Any client approves completes approval when one reviewer approves.
- All clients approve requires every reviewer to approve.
Enter each reviewer's name and email, then select Add. Check the email addresses before sending. You can choose saved contacts or save a new reviewer to the contact book for future batches.
Each reviewer should use their own invitation link so decisions are recorded against the intended reviewer.
The Batch Label
Enter a label that identifies the work, such as the campaign name or posting period. The label is visible to your team and the client.
If an open batch already uses that label, select the existing batch or rename the new one before submitting. You can rename a batch later.
The Expiry
Set a future expiry for the review link. Choose a time that leaves room for feedback and revisions before the posts are due to publish.
After expiry, the link no longer allows review. Check unresolved posts in Approvals; an expired link does not count as approval.
The Invite Note
Use Invite note for instructions the reviewer needs before opening the posts. For example, identify a post with a fixed deadline or ask them to check a product price.
Sending It
- Open the batch in Approvals and check the posts and reviewers.
- Complete any required internal approvals.
- Select Send to client and confirm.
- Check that the batch has moved into client review.
The reviewers receive an email with their review link. Publishing remains paused until the required decisions are complete. Resend link sends an existing invitation again when available.
Removing a Post
Before sending an open batch, select the post and choose Remove from batch under More actions, then confirm. The post returns to draft.
You cannot remove a post after the batch has been sent or after the post has a final review decision.
Canceling a Batch
Choose Cancel batch and review the confirmation. Pending posts and posts with change requests return to draft. Posts already approved or overridden retain their status. Cancellation is unavailable for completed batches.
Questions
Why are client reviews grouped into batches?
A batch lets each reviewer check a set of posts from one review page.
Can I add a post to a batch I have already sent?
No. Additions require an open batch that has never been sent. Create another batch for additional posts.
Which posts can go into a batch?
Draft and scheduled posts with a compatible review setup. Published, failed, and canceled posts cannot be added.
Can a batch have more than one reviewer?
Yes. Add reviewers by name and email. Choose Any client approves if one decision is enough, or All clients approve if everyone must approve.
Do reviewers need a Maeve account?
No. Reviewers open their invitation links in a browser without creating a Maeve account.
What happens when a batch expires?
The link no longer allows review. Unresolved posts remain blocked from publishing until their review requirements are resolved.
What happens if I cancel a batch?
Pending posts and posts with change requests return to draft. Posts already approved or overridden retain their status. Completed batches cannot be canceled.
