Client Reviews

Updated

A client stage sends a post to people outside your workspace. Each reviewer gets an email with their own link and can review without an account. Team and client stages are part of the same review, so your team can check a post before your client sees it.

Adding a Client Stage

  1. Open the post in the composer and select Schedule. Under Review, select Request review, or Change if a review is already filled in.
  2. Select Add client stage. To have your team check the post first, keep a team stage above it.
  3. Select Add reviewer, enter a name and email, and select Add and email them a link. To pick someone you have added before, select Contact book.
  4. Choose Any one approves or Everyone approves for the stage.
  5. Under Details, add a Review label, a Closes at time and an Invitation note if you want them.
  6. Select Confirm. Then select Submit for approval, or Send to client if the client stage is first.

A new reviewer is saved to your contact book. A workflow can include a client stage too. See Sending Work for Review.

Managers and Editors can add client stages. Creators can send a workflow that has one, but cannot add a client stage of their own.

What Your Client Receives

When a post reaches the client stage, each reviewer gets an email from Maeve Social with your workspace's name in it, for example Lily Dia would like your review. It shows the review label, the closing date and your invitation note. The Review the posts button opens their review page. They do not need an account or a password.

See What Your Client Sees for the page itself.

Team First, Then Client

Put a team stage above the client stage when your team should check the post first. Your client only sees the post once it reaches their stage.

If a new version goes back to your team, your client keeps seeing the last version they were shown and cannot decide on it. The new version reaches them once your team approves it.

Several Channels in One Review

When you send one post to several channels, each channel's version becomes an item in the same review, as long as the channels share a workflow or the same stages. Your client sees each one in their list and decides on each one separately. Each post you send for review starts its own review.

Reminders

Each stage has Remind them, set to 2 days for a new stage. A reviewer who has not answered by then gets one reminder.

To remind your client now:

  1. Open the post in Approvals.
  2. Select More review actions, the three dots at the top right.
  3. Select Send a reminder.

Every reminder to a client carries a fresh link, and the link in their earlier emails stops working. Ask your client to use the newest email.

Changing a Review That Is Running

  1. Open Approvals and select Reviews.
  2. Pick the review from the menu at the top right. Open reviews are listed first.
  3. Select Stages.
  4. Change the stages or the people in them, then select Save stages.

The line above the list of posts sums up the review: its stages, how many posts are pending, when it closes and who sent it.

A stage that a post has already passed is locked. Changes apply to posts that have not passed the stage yet, and only people who are newly waiting are told. A review that follows a required workflow cannot be changed. A Manager can override a post with a reason instead.

Withdrawing a Post or Cancelling a Review

Both are in More review actions on a post in Approvals.

  • Withdraw from review takes this post out of the review and returns it to draft. The rest of the review carries on.
  • Cancel review sends every pending post in the review back to draft and tells everyone in the review, your client included. Approved posts keep their approval.

The Closing Time

Closes at is optional and uses your workspace timezone. The review closes at exactly that time.

  • Posts that are not yet approved return to draft, and the review shows as Expired.
  • Approved posts keep their approval.
  • Your client sees This review has closed. and can no longer decide or comment.
  • The person who sent the review is told.

A closed review cannot be reopened. Send the posts for review again with a new closing time.

Questions

Does my client need a Maeve Social account?

No. Each reviewer opens their own emailed link in a browser. If they want to see all their reviews in one place, they can sign in to the client portal with a code sent to their email.

Can a client stage have more than one reviewer?

Yes. Add each reviewer by name and email. Choose Any one approves if one approval is enough, or Everyone approves if everyone has to approve.

Can I add a post to a review that is already running?

Not from the composer. Each post you send for review starts its own review. A post sent to several channels shares one review across those channels.

Why did my client's link stop working?

Every reminder sends a fresh link, and the older link stops working. A link also stops working if you remove that reviewer from the stage. Ask your client to use the newest email, or send a reminder.

What happens when a review reaches its closing time?

Posts that are not yet approved return to draft and the review shows as Expired. Approved posts keep their approval. Send the rest for review again if you still need them.

What happens if I cancel a review?

Every pending post goes back to draft and everyone in the review is told. Approved posts keep their approval.

Who can send a review to a client?

Managers and Editors. Creators can send a workflow that includes a client stage, but cannot add one of their own.
