Internal Approvals
Updated
Use Internal review to have selected people check a post before it publishes. Set the policy and approvers under Schedule > Request review in the composer.
Approval order
The Three Policies
| Policy | When Internal Approval Is Complete |
|---|---|
| Any one approves | One selected approver approves |
| All must approve | Every selected approver approves, in any order |
| Approve in order | Every selected approver approves in the specified order |
With Approve in order, each approver waits for the person before them.
Choosing Approvers
- Select the internal review mode and policy.
- Choose people from the Approvers list.
- If you selected Approve in order, use the arrows in Approval order to arrange the sequence.
- Select Confirm, then Submit for Internal Approval or Submit Draft for Internal Approval, depending on whether you have set a schedule.
Choose internal approvers from the people available in the workspace selector. For someone outside the workspace, use a client review instead.
The Approvals Queue
Open Approvals and select a post to inspect its preview, messages, and review status.
| State | Meaning |
|---|---|
| Pending | Internal approval is outstanding |
| Waiting Internal | A client batch is waiting for internal approval |
| Ready for Client | Internal approval is complete and the batch can be sent |
| Client Review | Client decisions are outstanding |
| Client Changes | A client requested changes |
| Rejected | An internal approver requested changes |
Finding the Right Work
Use Urgency to show posts scheduled for Today, Next 3 days, or This week. Select All dates to include the rest.
Filter by channel to review one platform. Use Group by to organize the queue by lifecycle, batch, or channel.
Acting on a Post
- Select a post and review its content and messages.
- Select Approve if it is ready, or Request changes and explain what needs updating.
- Review the confirmation before submitting your decision.
Your role, the approval policy, and the post's current state determine which actions appear. Check More actions for additional options.
| Action | Result |
|---|---|
| Approve | Records your decision and completes internal approval if the policy is satisfied |
| Request changes | Returns the post for revision with your feedback |
| Resubmit | Sends a revised post back for internal review |
| Edit post | Opens the composer |
| Schedule or Reschedule | Sets or changes the publish time |
| Withdraw | Pulls the post out of internal review |
One Post or the Whole Batch
Post and batch actions are listed separately under More actions. A post's Approve action records your decision on that post.
Use Approve batch internally to approve the batch posts assigned to you. Review those posts before confirming. Other batch actions, such as Send to client and Cancel batch, affect the batch as a whole.
Overriding
A Manager can use Override approval when a post needs to proceed without all outstanding internal approvals. Enter the reason and confirm. The history records an override separately from an approver's decision.
For a post with client review, internal approval alone does not complete the client stage. Check the remaining review requirements after overriding.
Questions
What is the difference between all must approve and approve in order?
Both require every selected approver. All must approve allows any order. Approve in order requires each person to wait for the previous approver.
Who can be an approver?
Choose from the people listed in the workspace Approvers selector. External clients review through a client link instead.
Does the order I add approvers matter?
It sets the initial sequence for Approve in order. Use the arrows under Approval order to change it. The other policies do not require a sequence.
How do I find what needs approving first?
Use Urgency to filter by Today, Next 3 days, or This week. Check the scheduled times before choosing what to review.
Can I approve a whole batch at once?
Use Approve batch internally for batch posts assigned to you. Post and batch actions are separate options under More actions.
Why will it not let me approve?
Check the post's message, your assignment, and the approval order. If the scheduled time has passed, reschedule before approving internally.
What does overriding an approval do?
A Manager can complete internal approval without the remaining decisions. The reason is recorded as an override. Any separate client review requirements still need to be resolved.
