Invite Your Team and Manage Permissions

Open Settings, then Members, to invite someone to your organization. You choose their organization role and, for Members, which workspaces they can access.

Choosing an Organization Role

Choose Member for someone who needs to work in selected workspaces. Choose Finance for someone who only manages billing, or Admin for someone who needs to manage the whole organization.

Sending an Invite

    Open Settings, then Members

    Select Invite member.

    Enter their email address

    Use the email address they use, or will use, for their Maeve account.

    Select an organization role

    Choose Member, Finance, or Admin. If you choose Finance or Admin, you do not need to assign workspaces.

    Select workspaces and roles

    For a Member, select at least one workspace and choose a role for each. The same person can be an Editor in one workspace and a Viewer in another.

    Select Send invite

    If they already have a Maeve account, they get access immediately. Otherwise, they receive an email with a link to create an account.

The invite form, with Member picked. Admin and Finance answer the workspace question by themselves, so choosing either replaces that third step with a single line.

Choosing a Workspace Role

Choose the role that gives the person the access they need:

  • Viewer lets them view content and analytics.
  • Creator also lets them draft content and upload media. They cannot schedule or publish.
  • Editor also lets them schedule and publish, manage media, and reply in the inbox.
  • Manager also lets them connect channels, manage workspace members, and change workspace settings.

For a writer whose drafts need review before publishing, choose Creator. Give the person reviewing and scheduling those drafts Editor access.

Checking Your Seat Limit

Basic includes one seat, Standard includes five, and Premium includes unlimited seats. Seats are counted across your organization. Giving someone access to more workspaces does not use additional seats.

Pending invites also count. If you reach your limit, revoke an unused invite before inviting someone else.

Changing a Member's Access

  1. Open Settings, then Members.
  2. Select the person you want to update.
  3. Change their organization role, workspace selection, or role within a workspace.
  4. Select Save changes.

Changes take effect immediately. Removing a workspace from their selection removes their access to it.

Resending or Revoking an Invite

Invites expire after seven days. Find the pending invite in Members and resend it to start a new seven-day period. Revoke it if the person no longer needs access. Revoking a pending invite frees its seat.

Removing a Member

Remove a member from Settings, Members, to end their access to every workspace in your organization. You cannot remove the owner or yourself.

Their posts, drafts, comments, and media remain. Their post and task assignments, Workbench folder access, favorites, and mentions are cleared.

Questions

Can one person have different roles in different workspaces?

Yes. Choose Member as their organization role, then select a role for each workspace they need.

Do organization admins need to be added to each workspace?

No. Admins automatically have Manager access to every workspace, including ones created later.

Does a pending invite use a seat?

Yes. It counts toward your seat limit. Acceptance converts it to a member seat; revoking it or letting it expire frees the seat.

How do I give someone access to invoices only?

Invite them with the Finance role. They can access Billing and plan and the billing portal, but cannot open workspaces.

What happens to someone's work when I remove them?

Their posts, drafts, comments, and media stay in your organization. Their assignments, Workbench folder access, favorites, and mentions are cleared.
