Labels

Open Labels to manage the labels used on posts and media in your workspace. You need Editor or Manager access to create or manage them.

Create a Label

  1. Select the Labels tab.
  2. Click New label.
  3. Enter a name of up to 50 characters and choose a color.
  4. Select a group if needed.
  5. Click Create label.

The label becomes available for both posts and media. Applying it to a post does not automatically apply it to that post's media files; label each item where you need it.

Organize Labels into Groups

  1. Click New group.
  2. Enter a name of up to 100 characters and choose a color.
  3. Click Create group.
  4. Assign labels to the group when creating them or through their group control.

For example, create a Products group containing labels for individual product lines. Labels without a group appear under Ungrouped. Use the group list to narrow the labels shown in the main panel.

Edit a Label

Use the label row's edit control to change its name or color, then save. Use its group control to move it into another group or choose Ungrouped. These changes update the workspace label used by existing assignments.

Archive and Restore

  1. Find the label in the active view.
  2. Click Archive and complete the confirmation.
  3. To use it again, open Archived, find the label, and click Restore.

Archiving hides the label from new selections and preserves its existing assignments. It does not remove the label from posts or media that already use it.

Label deletion uses archiving. This differs from merging, which transfers assignments to another label.

Merge Duplicate Labels

  1. Find the label you want to merge away.
  2. Click Merge.
  3. Choose the label you want to keep under Choose target label.
  4. Review the source and target, then click Merge.

Existing post and media assignments move to the target label. The source is retired. For example, merge Launch 2026 into Product launch if they represent the same category.

There is no unmerge action. Restoring a label does not separate assignments that were transferred by a merge.

Delete a Group

Open the group's delete control. If it contains labels, choose what should happen to them before confirming Delete group.

Choose based on whether you still need the labels for new content. Archived labels retain existing assignments.

Questions

Do labels work on media as well as posts?

Yes. The workspace uses the same label list for posts and media. Apply labels to each item separately.

How long can a label name be?

Up to 50 characters.

What are label groups for?

Groups organize related labels. Each group has a name and color; labels without a group appear under Ungrouped.

What does archiving a label do?

It hides the label from new selections while retaining existing assignments. Use Restore from the Archived view to make it available again.

Can I delete a label permanently?

Label deletion uses archiving. A merged source is different because its assignments have moved to the target.

What does merging do?

It transfers post and media assignments to the target label and retires the source.

Can I undo a merge?

There is no unmerge action. Check the target before confirming.

What happens to labels when I delete their group?

Choose Move them to Ungrouped to keep them active, or Delete them too to archive them while removing the group.
