Collecting Media From a Client

Create a client upload link to let someone send images into your Media Room without a Maeve account. Upload links are available on Standard and Premium.

  1. Open Settings, then Social channels.
  2. Find Client upload links and select Create first link or New link.
  3. Enter a Link name so you can identify it later. Optionally choose a Client contact.
  4. Choose a Destination folder, or leave Media Room root selected.
  5. Set Expires. The default is 30 days; you can choose another future date and time.
  6. Select Create link, then Copy link to get the URL to share.

Managers and Editors can create and manage links. Organization Owners and Admins also have access. Destination folders can be top-level folders or their subfolders.

What the Client Sees

The link opens an upload page. Your client can drag images onto it or choose files from their device. The page lists accepted formats, the remaining image allowance, and the expiry date.

Anyone with the link can see every image uploaded through it. Create separate links when clients should not see each other's uploads.

A client can remove an image through the page unless it is already in use. Removal moves it to your Bin for seven days, where your team can restore it. Anyone with the URL can remove eligible images on that link, including images someone else uploaded.

Your client can remove anything here except an image already used on a post. Removing puts it in your Bin for seven days rather than destroying it, and it does not give the slot back, because the count above is of everything ever sent through the link.

What your client opens. No account, no navigation, and nothing else of Maeve reachable from it. The count is what the link has left rather than what it started with, and the gigabyte cap is never mentioned here.

The upload page does not give access to the rest of your Media Room, workspace, or calendar.

HEIC and HEIF images are converted to JPG in the browser before upload. AVIF images are converted to JPG after upload.

Uploads are rate-limited. If a large batch receives a rate-limit error, wait before retrying the remaining images.

Client uploads count toward your organization's storage allowance.

Open Client upload links in Settings, under Social channels. Use Copy link or open the link to check its public page. The menu beside each link contains these actions:

Rotating keeps existing uploads and the link's usage totals. If the link has expired, rotating gives it another 30 days. Send the new URL to anyone who still needs access.

Revoking leaves uploaded images in the Media Room. A revoked link cannot be restored, edited, or rotated. Create a new link if you need to collect more images.

Keep the URL limited to the people who should have access. If someone else receives it, rotate or revoke the link. Active and expired links appear in the main list; expand Show revoked links to review revoked ones.

The two that sound alike

Rotate

A new URL. The old one dies, everything already sent stays, and an expired link comes back for another 30 days.

Revoke

Off for good. It cannot be edited, rotated or brought back, and the confirmation does not say so.

The URL is the whole credential. Anyone holding it can upload, so if it reaches the wrong person, rotate rather than revoke.

The links list in Settings. Active and expired links share one list, so the badge is the only thing telling them apart, and revoked links are folded away underneath.

Where the Images Go

Open Media Room and select Client uploads, or open the destination folder you chose. You can label the images, move them, and use them in posts.

Check this view for new files. Maeve does not send an email or notification when a client uploads images.

The client contact identifies the link, not the person who uploaded each file. Use a separate link for each sender if you need to keep their uploads distinct.

A link stops accepting images when it reaches 100 uploads or 1GB in total. Images already uploaded remain visible. The page shows the remaining image count; reaching the size allowance produces an upload error.

Deleting an image does not reset the upload allowance. Changing the destination folder or rotating the URL also does not create a new allowance. Create a new link for the next batch.

Questions

Does my client need a Maeve account to send me files?

No. They can open the upload URL and send images without signing in.

Can clients upload video?

No. Upload links accept images only. Ask for video through a file transfer service, then upload it to the Media Room yourself.

How many images can one link take?

Up to 100 images, at 50MB each and 1GB total per link. The first limit reached stops further uploads. Removing images does not reset the allowance.

Where do the images end up?

Images appear in the destination folder selected on the link and in the Media Room's Client uploads view.

How long does a link last?

The default is 30 days. Choose a future expiry when creating or editing the link, or use Extend 30 days on an existing link.

Can I stop a link working?

Yes. Revoke permanently stops access. Rotate issues a new URL and stops the old one working. Both keep existing uploads in the Media Room.

Can the client see anything else in my workspace?

No. The page shows only images uploaded through that link. Anyone with the same URL can see those images, including uploads from other people.

Will I be told when my client uploads something?

No. Check Client uploads in the Media Room for new images; Maeve does not send an upload email or notification.
