Storage and Freeing Space

Check the storage bar at the top of Media Room to see your organization's usage and allowance. To free space, archive files you no longer need or delete files permanently from the Bin.

It Is Shared Across Workspaces

Each workspace has its own Media Room. All workspaces in your organization use the same storage allowance, so removing a large file in one workspace frees space for uploads in the others.

Storage also includes files outside the library, such as canvas and task attachments, approval attachments, Studio renders, and video clips. The files visible in one Media Room may account for only part of your usage.

The last row is why the number can look higher than the libraries explain. None of it is clearable from the Media Room.

One library per workspace, one allowance for the organization. The bar at the top of a workspace's Media Room is reporting the whole organization's number, which is why it moves when someone else uploads.

When It Fills Up

The storage bar shows a warning at 80% usage and a critical state at 95%. Uploads fail if there is not enough remaining space for the new file.

Files already uploaded remain available, and scheduled posts can still publish. Creating new files, including Studio renders and video clips, also requires available storage. Free space or change your plan before trying again.

Finding What to Remove

  1. Open Media Room and sort by size in descending order.
  2. Review the largest files first.
  3. Select Unused to narrow the library to files with no current placements.
  4. Open a file and check Usage before removing it.

Current usage includes post attachments, channel editions, covers, and grid planner placements in this workspace. The Unused filter does not tell you whether you will need a file again.

Two Ways to Get Space Back

To archive files, select them in the library, choose Archive, and confirm. Maeve removes the source files and frees their space immediately.

To permanently remove files from the Bin:

  1. Open Bin in the Media Room.
  2. Select the files you no longer need.
  3. Choose Delete forever and confirm.

Using Delete in the library only moves files to the Bin. They still use storage until you delete them forever or Maeve removes them after seven days.

After removing files, check the storage bar before starting another upload.

Media on Scheduled Posts Is Protected

Maeve blocks archiving and deletion for files attached to scheduled posts. Remove the file from the post or wait until it publishes, then try again.

Check drafts and posts awaiting approval yourself. They do not block media removal in the same way.

Questions

Is storage per workspace or per account?

Storage is per organization. All of its workspaces use the same allowance.

How much storage does each plan include?

Free includes 1GB, Basic 20GB, Standard 50GB, and Premium 100GB. Check the storage bar for your current allowance.

What happens when storage is full?

New uploads fail if there is not enough space. Existing files remain available, and scheduled posts can still publish. Free space or change your plan before uploading again.

Does archiving free up space?

Yes. Archiving removes the source file and frees its space immediately. It cannot be undone.

Does deleting free up space?

Delete moves files to the Bin, where they still use storage. Delete them forever from the Bin to free space immediately, or wait for automatic removal after seven days.

Can I get an archived file back?

No. Only files still in the Bin can be restored. Download a copy before archiving if you may need it later.

Why can I not delete a file?

A file attached to a scheduled post cannot be archived or deleted. Remove it from the post or wait until it publishes, then try again.
