Create a Task
- Open Tasks and switch to Board.
- Click the plus button in the column where you want the task to start.
- Enter a title, such as "Review the launch carousel caption".
- Add a description if the task needs instructions or links.
- Set any assignees, priority or due date you need, then click Create task.
Titles can be up to 180 characters and descriptions up to 5,000 characters.
Edit the Details
Click a task to open it. Edit the title or description in Details, and use the controls below the title to change its properties. Click Save when shown. If your workspace has task autosave enabled, edits save automatically.
| Property | How to Use It |
|---|---|
| Priority | Choose Urgent, High, Medium or Low. Leave it unset if the task does not need a priority. |
| Due date | Choose the day the task is due. Tasks use a date without a due time. |
| Assignees | Select one or more workspace members. Select a member again to remove them. |
| Labels | Add workspace labels so you can filter related tasks together. |
| Card color | Choose a color for the card. This is separate from labels. |
Assigning someone sends them a task notification. You can filter the board by Assigned to me to find your work, or by Users to see another person's tasks.
For steps, discussion and reference files, see Checklists, Comments and Attachments.
Move or Complete a Task
Drag the card into another column on the board. You can also open the task, click its current column below the title, and choose a different column.
Move the task to Done when it is finished. If you renamed the default Done column, use that column under its new name. Moving it out of Done reopens it.
The arrow keys in the task's tab bar switch between Details, Comments and Activity. They do not move the task between columns.
Read the Activity History
Open the task and select Activity to see who changed it and when. The history records moves, assignments and changes to task details. It also includes checklist changes, files added or removed, content links, and archive or restore actions.
Archive or Delete a Task
Open the task and click Archive to remove it from the active board. You can restore it from the Archive view later.
To remove it permanently, click Delete and confirm. Deleting a task cannot be undone.
Questions
What does a task need?
A title is required. You can add a description, assignees and other details when you create the task or later.
How long can a task title be?
Up to 180 characters. Use the title to describe the work to be done.
What are the priority levels?
Urgent, High, Medium and Low. New tasks have no priority unless you choose one.
Can a task have a due time?
No. You can set a due date, but not a due time.
Does assigning a task notify the person?
Assigning someone sends them a task notification.
Can several people be on one task?
Yes. Open Assignees and select each workspace member who should be assigned.
What is the difference between a label and a card colour?
Labels let you filter tasks using shared workspace categories. Card color changes how the card looks and is separate from labels.
How do I move a task without dragging?
Open the task, click its current column below the title, and select another column. Arrow keys in the tab bar switch tabs rather than moving the task.
Can I see what changed on a task?
Yes. Open the task and select Activity to see changes, including moves, assignments, checklist updates, attachments and content links.
