Roles and Permissions in Detail

Each team member has an organization role. Members also have a role in each workspace they can access. Choose the organization role first, then assign workspace access where needed.

Choose an Organization Role

Use Member when someone only needs selected workspaces. Choose Finance for someone who manages billing. Use Admin when they need to manage the organization and all its workspaces.

Admins and the Owner automatically have Manager access to new workspaces. You do not need to assign each workspace separately.

There is one Owner. To change the Owner, use Transfer Ownership.

Choose a Workspace Role

For an organization Member, select the workspaces they need and choose a role for each one.

Choose Viewer for someone who needs to read workspace content. Choose Creator for someone who drafts posts and submits them for review. Use Editor when they also need to schedule posts or reply in the inbox. Manager adds control over workspace access, settings, and channel connections.

Assign Different Roles by Workspace

An organization Member can be an Editor in one workspace and a Viewer in another. Set each role according to the work they need to do there.

Organization Admins and the Owner inherit access from the organization. You cannot reduce that access or remove them through workspace member settings. Their organization role must be changed first.

Check Role Restrictions

  • You cannot remove yourself through organization member management.
  • The Owner must transfer ownership before another person can remove them.
  • You cannot demote yourself from workspace Manager.
  • An organization's Admin or Owner access cannot be edited within a workspace.

Check the Plan as Well as the Role

Your role grants permission to use features included in the organization's plan. It does not add features from a higher plan.

For Team Insights, Managers and organization Admins or Owners can view the workspace's team data. Other members can view their own data once it is enabled. See Team Insights.

If an action is unavailable, check your workspace role and the organization's plan. For example, a Manager on Basic cannot use All channels analytics, and a Viewer on Premium cannot generate reports.

Questions

What is the difference between the owner and an admin?

Both can manage the organization and its workspaces. Only the Owner can transfer ownership or delete the organization.

Do I need to add organization admins to each workspace?

No. Admins automatically have Manager access to every workspace, including ones created after they join.

What exactly can a Viewer not do?

Viewers cannot create or edit drafts, publish, reply in the inbox, moderate conversations, or generate reports. They can read workspace content and available analytics.

What is the difference between a Creator and an Editor?

A Creator can draft posts, upload media, and request internal review. An Editor can also schedule and publish, manage media, reply in the inbox, and send client reviews.

What is the difference between an Editor and a Manager?

A Manager can also manage channel connections, workspace members, settings, and API keys, and override internal approvals.

Can one person have different roles in different workspaces?

Yes. An organization Member can have a different role in each assigned workspace.

Why can I not change an admin's role in my workspace?

Admins inherit Manager access from the organization. Their organization role must change before you can restrict them to specific workspace roles.

Why can I not do something my role allows?

Check the organization's plan as well as your permissions. Approvals, inbox automation, reports, and All channels analytics need Standard or Premium. Team Insights needs Premium and must be enabled.
